Privacy Policy

How All Access Holding (Pty) Ltd collects, uses and protects your personal information, and the rights you have under POPIA.

All Access Holding (Pty) Ltd respects your privacy. This policy explains what personal information we collect when you deal with us or use this website, why we collect it, how we look after it, and what rights you have over it under the Protection of Personal Information Act 4 of 2013 (POPIA).

1. Who we are

All Access Holding (Pty) Ltd (registration number [insert company registration number]) is a South African supplier of water pumps, industrial pumping equipment, water and sanitation systems, equipment rentals, field maintenance and technical skills development. In this policy we refer to ourselves as we, us or All Access Holding.

For the purposes of POPIA we are the responsible party for the personal information described below.

2. The information we collect

We only collect the information we need in order to quote, supply, install, service or support the equipment you ask us about. Depending on how you deal with us, that may include:

Identity and contact details – your name, job title, company name, telephone number, email address and physical or delivery address.
Enquiry and project details – the information you give us in a quotation request, pump selector submission, rental enquiry or training registration, such as borehole depth, yield test results, water levels, flow and pressure requirements, site location and intended application.
Transaction information – quotations, purchase orders, invoices, delivery notes, service reports and payment records. We do not store card numbers on this website.
Correspondence – emails, WhatsApp messages, call notes and any other communication between us.
Training records – where you attend a skills development or technical training programme, attendance, assessment results and certification details.
Technical website information – your IP address, browser type, device type, referring page, and the pages you view on this website.

We do not deliberately collect special personal information as defined in POPIA (such as health, biometric, religious or political information), and we ask that you do not send it to us unless we have specifically requested it for a lawful purpose.

3. How we collect your information

Directly from you – when you complete a form on this website, email or phone us, message us on WhatsApp, meet us on site, or register for training.
Automatically – through cookies and server logs when you browse this website, as described in section 11.
From third parties – occasionally from a consultant, contractor, driller or principal on a shared project, or from publicly available business sources, where doing so is necessary to quote or deliver.

4. Why we process your information

We use your personal information to:

respond to your enquiry and prepare a quotation or pump specification;
supply, deliver, install, commission, rent out, service or repair equipment;
administer rental agreements, including delivery, collection and condition records;
deliver training and issue certificates;
process orders, invoices and payments, and manage our accounts;
provide after-sales and warranty support;
keep the records we are required to keep by South African tax, company and consumer law;
maintain and improve this website and keep it secure;
send you technical information, product updates or marketing where you have agreed to receive it or where the law allows it.

5. Our lawful basis under POPIA

POPIA requires us to have a lawful basis for processing your information. Depending on the purpose, we rely on one or more of the following:

Performance of a contract – where processing is necessary to quote, supply, rent, service or train under an agreement with you.
Legal obligation – where we must keep records or report information under tax, company, occupational health and safety or environmental legislation.
Legitimate interests – our own or those of a third party, such as managing credit risk, preventing fraud, keeping equipment service histories, and securing our systems.
Consent – for electronic direct marketing to people who are not already our customers, and for any optional cookies. You may withdraw consent at any time.

6. Sharing your information

We do not sell your personal information. We share it only where it is necessary, and only with parties who are required to protect it:

Operators who act on our instructions – our website host, email and IT providers, accounting and payroll providers, and our courier and transport partners. POPIA requires them to process the information only as we instruct and to keep it secure.
Manufacturers, suppliers and technical partners – where a pump selection, warranty claim or technical support request has to be referred to the manufacturer or its agent.
Professional advisers – our auditors, attorneys, insurers or debt collectors, where necessary.
Regulators, SETAs and government bodies – where required by law, including training and qualification reporting.
A purchaser – if our business or part of it is sold or restructured, subject to the same protections.

7. Cross-border transfers

Some of the services we use – for example email, cloud storage, website hosting and analytics – may store or process information on servers outside South Africa. Where that happens we take reasonable steps to ensure that the recipient is subject to a law, binding corporate rules or a binding agreement that provides a level of protection substantially similar to POPIA, as section 72 of the Act requires.

8. How we keep your information secure

We apply reasonable technical and organisational measures appropriate to the sensitivity of the information, including access controls on our systems, encrypted connections on this website, restricted access to customer records on a need-to-know basis, and supplier agreements that require confidentiality.

No system is completely secure. If a security compromise affects your personal information, we will notify you and the Information Regulator as soon as reasonably possible, as section 22 of POPIA requires.

9. How long we keep your information

We keep personal information only for as long as we need it for the purpose it was collected, or for as long as the law requires:

Enquiries and quotations that do not proceed – up to 24 months, so that we can pick up the conversation if you come back to us.
Customer, rental, service and training records – at least five years after the end of the relationship, in line with tax and company record-keeping requirements.
Accounting records – as required by the Companies Act 71 of 2008 and the Tax Administration Act 28 of 2011.
Marketing contacts – until you unsubscribe or ask us to remove you.

When the retention period ends we delete the information or de-identify it so that it can no longer be linked to you.

10. Your rights under POPIA

You have the right to:

ask whether we hold personal information about you, and ask for a copy of it;
ask us to correct or update information that is inaccurate, misleading or out of date;
ask us to delete or destroy information we no longer have a lawful reason to keep;
object, on reasonable grounds, to our processing of your information;
withdraw consent where we relied on it, without affecting processing that already took place;
object at any time to direct marketing;
complain to the Information Regulator.

To exercise any of these rights, email info@allaccessholding.co.za or write to our Information Officer at the address in section 14. We may ask you to verify your identity before we act on a request. Requests for access to records are dealt with under the Promotion of Access to Information Act 2 of 2000 (PAIA) and may attract the prescribed fee.

11. Cookies and website analytics

This website uses cookies – small text files stored on your device – to make the site work and to understand how it is used.

Strictly necessary cookies keep the site secure, remember your form entries and make features such as the quotation wizard work. The site cannot function properly without them.
Performance cookies help us understand which pages and articles are read, so that we can improve them. This information is aggregated and does not identify you personally.

You can block or delete cookies through your browser settings. If you do, parts of this website may not work as intended.

12. Direct marketing

We may send you technical articles, product information or promotional material by email or WhatsApp where you are an existing customer and the material relates to similar goods or services, or where you have given us your consent. Section 69 of POPIA allows this, and every message we send includes a clear way to opt out. You can also unsubscribe at any time by emailing info@allaccessholding.co.za.

13. Children’s personal information

Our products and services are sold to businesses and adults. We do not knowingly collect personal information about children under 18. If you believe a child has given us personal information, please contact us and we will delete it.

16. Changes to this policy

We may update this policy from time to time to reflect changes in our business, our systems or the law. The effective date at the top of this page tells you when it was last changed. Where a change materially affects how we use your information, we will bring it to your attention.
